How to use ChatGPT AI to automatically reply to Google My Business reviews. (December 2025 Update)

The original article below was published May 2023, that’s 2.5 years ago  – and how AI has moved on.

So the way I documented below still works. But we have moved on. The software that we now use HighLevel has ChatGPT “baked” in so we no longer require Zapier. Plus we can get more sophosticated.

1. When a Google Review is left. In HighLevel we can stipulate to only respond when say ther leave a 4+ star review. In addition we can have different agents, with different personalities replying to reviews – to make the replys feel more natural and to be coming from a team, rather than robotic – as the previous Zapier version could be.

2. This is the really exciting evolution – reducing the workload for your review writters. When you ask a customer to leave you a review you effectively had them a blank sheet of paper and ask them to write something good about you. You are giving them work and this can reduce the number of reviews submitted. In HighLevel we are able to set up automation so that we capture some simple feedback from the customer eg. who they worked with, what service did they use, what did they think of the service. And from this feedback we have ChatGPT (within HighLevel) draft a review and then 10 minutes later send them an email to say thanks for the feedback and that we have taken the opportunity to draft a review for them and would they mind submitting the review to Google or Facebook. So making it really easy for customers to submit a review.

3. And a further recent update in HighLevel – we can now automatically request, remote capture video testimonials and display them on your website. 100% automated in HighLevel

If you are generating Google reviews on Google My Business then it can be a smart move to reply to Google My Business reviews. But it is a manual chore. So this is an ideal use case for ChatGPT.

In the video below these are the stages we go through.

  1. Someone leaves a review on Google My Business.
  2. If they leave a 4 or 5-star review then we filter them with Zapier.
  3. Zapier then pushes the details of the review into ChatGPT
  4. ChatGPT writes a unique reply to the review.
  5. ChatGPT pushes the reply message back into Zapier.
  6. Zapier updates the Google review with the reply generated by Chat GPT.

So in the video below, I go through the Zapier setup to do this. I assume you are familiar with using Zapier.

 

So this solution in the above video accommodates 4 or 5-star reviews. As smart as ChatGPT is I would not be comfortable with having it reply automatically to any 1,2 or 3-star reviews. In these instances, I feel it is better for a human to respond who can act/reply appropriately. This too can be accommodated using Zapier. In this instance we would create a second Zap in Zapier – and it would filter so we only deal with 1,2 or 3-star reviews. When we get one of these reviews I would have Zapier send an email to my client to tell them to look at this particular Google review and manually intervene and respond to what has been said.

Fix broken links on your website and improve your SEO

fix broken linksIf you are following the They Ask, You Answer methodology and creating content on your website then inevitably you will be including links to other pages and external websites.

When these links become broken then apart from giving your website visitors a negative and frustrating experience it is also noticed by the Google spiders when they index your site. And so can adversely affect your SEO rankings.

How do links become broken? The main reasons. When you added the link you made a typo mistake. But more commonly the external website you linked to may have been deleted or the URL changed or the website has simply been taken down.

This tip I got from Nick Fenmore Collins at Website Success. To fix broken links use a free tool like Broken Link Check to search out all those hard to find broken links, and then you can fix them.

As an example, my website/blog now has over 750 pages and I have never before checked for broken links and found 60 broken links!! So this will keep my busy updating pages and fixing broken links.

And Photoroom (which lets you edit the backgrounds too)

 

What these tools do is automatically remove the background from an image.

Every time I deploy this crafty email from The Entrepreneurs Circle it makes me smile – because it works.

Secret Envelope promotion captures over 30% of attendees to the Entrepreneurs Circle Convention

Recently I was exhibiting at the Entrepreneurs Circle Convention (read more here). And I had the opportunity to include an item in the Goodie / Swag bag. Most exhibitors included promotional items like pens, coasters etc.

But I included a “Secret Envelope” promotion (I have Cameron Botterill to thank for the inspiration) – an envelope which enclosed a winning number prize ticket. There was one randomly selected envelope that had a winning ticket for a Chromebook.

These are the mechanics of the promotion.

There is one winning ticket.

The recipient scans the QR code and enters their ticket number and contact details onto a Keap / Infusionsoft landing page.

A Keap / Infusiosnoft campaign starts. It first determines if they have the winning ticket and sends a text and email to let them know the outcome.

During the two-day convention, the recipients received timely text and email reminders – all driving convention attendees to visit the stand. For instance, a text during the “Happy Hour” on day one and an early morning text on day two and a safe journey home email as the event finished.

 

Results

Of the 1200 attendees over 360 entered the competition. That’s over 30% of attendees who were captured. They were then followed up.

To date 40 qualified leads were captured and booked for a discovery call either directly at the convention or during post-convention follow up.

Cost £0.33 per ticket.

Cost per contact captured  £1.11

Qualified prospects booked for a discovery call from the event 40 (to date)  (now, I could not attribute these all to the promotion, but the promotion certainly helped)

QuillBot’s paraphrasing tool helps millions of people rewrite and enhance any sentence, paragraph, or article using state-of-the-art AI.

This is great for when you want to repurpose text eg for SEO purposes or give your existing copy a refresh. The free version works great. And there is even a Chrome extension that enables you to easily access the tool when you are working in other tools like Gmail. This is definitely a tool that savvy marketers should be using.

80% of sales are made after 5 contacts – avoid “follow up failure”

Here are some food for thought sales stats.

So, most sales occur from consistent follow-up, yet most salespeople do not follow up consistently.

Why is this? Well, it takes work and organisation in the first place. And if the salesperson is looking to achieve their monthly target then they will likely take the new fresh leads and run through them, try to contact a prospect a couple of times in order to quickly get the “low hanging fruit” sales – and after that be asking for a new fresh batch of leads.

So how can this be fixed? Let marketing and sales automation do the grunt work – let software automatically follow up and make the “contacts” on behalf of the salesperson. Let the software bubble to the surface the prospects who have been nurtured sufficiently by follow-up that they are now ready to talk to the salesperson.
