If you sell or install replacement windows, doors, conservatories or other home improvements, the right CRM should help you respond to enquiries faster, book more appointments, follow up quotations and generate more business from your existing database.
For many window, door and conservatory companies, HighLevel could be a strong choice for managing lead generation, sales follow-up and marketing automation.
However, HighLevel is not specialist window-design or manufacturing software. You may still need an industry-specific system for technical surveys, product configuration, ordering and installation management.
The best solution may be HighLevel acting as your marketing and sales system while working alongside the specialist operational software you already use.
What should a window company CRM do?
A CRM should be more than a database containing names, telephone numbers and email addresses.
Think about the journey followed by a typical homeowner:
- They find you through Google, social media, advertising or a recommendation.
- They request a quotation.
- Someone needs to respond and qualify the enquiry.
- A sales appointment or survey is arranged.
- A quotation is prepared.
- The homeowner considers your quote alongside other options.
- The order is either won or lost.
- The job moves into surveying, ordering and installation.
- After installation, there are reviews, referrals and future opportunities.
There are numerous points at which an enquiry can be forgotten, an appointment can be missed or a quotation can disappear into a spreadsheet.
A properly configured CRM should make the complete sales journey visible and help ensure that the right follow-up happens at the right time.
How HighLevel can help window, door and conservatory companies
HighLevel can help you:
- Capture enquiries from your website and advertising
- Keep customer details and conversations together
- Respond quickly when a new enquiry arrives
- Qualify prospects and book appointments
- Send appointment confirmations and reminders
- Track every sales opportunity
- Follow up quotations
- Run email, SMS and WhatsApp campaigns
- Reactivate old enquiries and quotations
- Request customer reviews and referrals
- See which marketing produces appointments and sales
A sales pipeline designed around your business
A simple window and door sales pipeline might look like this:
New enquiry → Contact attempted → Appointment booked → Survey completed → Quote sent → Follow-up → Order won or lost
Your process may be different. You might separate the initial sales appointment from the technical survey or have different processes for domestic, trade and commercial enquiries.
The stages themselves are not the clever part. The real value comes from deciding what should happen at each stage.
How quickly should somebody respond? What happens if the prospect does not answer? When should reminders be sent? How often should a quotation be followed up?
Once we have mapped these decisions, HighLevel workflows can support and automate the process.
Respond to new enquiries faster
Window and home-improvement leads can be expensive. If a homeowner requests quotations from three companies, the first business to respond may have an immediate advantage.
When an enquiry arrives, HighLevel can:
- Create the contact record
- Add the opportunity to your sales pipeline
- Assign or notify the appropriate salesperson
- Send an immediate email or SMS acknowledgement
- Create a follow-up task
- Start a contact sequence if the prospect cannot be reached
Leads can potentially be allocated according to factors such as product, postcode, territory or salesperson availability. More complex routing and journey planning may require another system.
HighLevel can also send an automatic text message after a missed telephone call. For example:
Sorry we missed your call. Are you looking for a quotation for windows, doors or a conservatory?
This gives the caller an immediate response, even if your team is driving, carrying out a survey or speaking with another customer.
Mobile access for salespeople and surveyors
The HighLevel mobile app gives your team access to contacts, conversations, appointments, tasks and sales opportunities while they are away from the office.
A salesperson can check the history of an enquiry before an appointment, update its stage and record what needs to happen next.
This helps office and field-based staff work from the same customer information rather than relying on separate notebooks, inboxes or spreadsheets.
Book appointments and follow up quotations
HighLevel includes online calendars for telephone calls, showroom appointments, sales visits and surveys. It can send confirmations and reminders automatically, helping to reduce missed appointments.
After a quotation has been issued, HighLevel can support a structured follow-up process combining:
- Personal telephone calls
- Tasks for the salesperson
- Helpful emails
- SMS or WhatsApp messages
- Case studies and testimonials
- Answers to common questions
- Longer-term follow-up for prospects who are not ready
The best follow-up should not feel like a series of automated messages asking, “Have you made a decision?”
It should answer questions, overcome concerns and give the homeowner useful reasons to choose your company.
Proposals, contracts, deposits and payments
When a homeowner decides to proceed, HighLevel can potentially be used to create proposals, estimates, contracts and invoices, collect electronic signatures and take deposits or payments.
Whether this is appropriate will depend on the complexity of your products and quotations. A company selling highly configured windows, doors and conservatories may still need specialist design and quoting software.
Your old enquiries may be worth more than you think
Before deciding that you need more leads, it is worth asking what happened to all the enquiries and quotations you have already generated.
I worked with a specialist sash-window repair company that had accumulated thousands of old quotations inside its database.
Using HighLevel, we ran a straightforward reactivation campaign to contact people who had previously requested a quotation but had not proceeded.
That HighLevel campaign generated approximately £40,000 in work from contacts the company already had.
These people already knew the business and had previously expressed an interest. The opportunity came from using HighLevel to identify, contact and follow up those dormant prospects systematically.
It is a useful reminder that a CRM should not simply store old enquiries. It should help you turn the information in your database into future sales.
Any reactivation campaign must take account of the contact’s consent, your lawful basis for communicating with them and appropriate options for opting out.

Is HighLevel an alternative to specialist window and door software?
Window, door and conservatory businesses already have several specialist systems available to them. These include Business Pilot, AdminBase, Glazepoint and Tommy Trinder.
Is HighLevel an alternative to these systems?
The honest answer is that it depends on what you need the software to do.
HighLevel is particularly strong as a CRM, marketing automation and customer communications platform. Specialist window-industry systems may be stronger at technical quoting, product design, surveying, manufacturing, installation scheduling and remedial work.
In many cases, the best solution may be to use HighLevel alongside specialist software rather than trying to replace it.
Is HighLevel an alternative to Business Pilot?
Business Pilot is designed specifically for window, door and glazing companies. It combines CRM features with operational tools covering contracts, installations, scheduling, service calls and remedial work.
A company relying on Business Pilot to manage the operational journey from contract through to installation may not want to replace it.
Business Pilot offers a Zapier integration, so it may be possible for HighLevel and Business Pilot to work together. The precise setup would depend on what information needs to pass between the systems.
Is HighLevel an alternative to AdminBase?
AdminBase is a business-management system developed for home-improvement and double-glazing companies.
HighLevel could manage the marketing and sales journey before an order enters AdminBase. It could capture the enquiry, manage appointment booking, automate quotation follow-up and nurture prospects who are not yet ready to proceed.
Whether the two systems can be integrated would need to be investigated based on the workflow and integration options available.
Is HighLevel an alternative to Glazepoint?
Glazepoint combines a CRM with a window and door designer. It can be used to create product drawings, specifications, branded quotations and contracts.
HighLevel does not provide the same specialist window-design functionality. A company may therefore retain Glazepoint while using HighLevel for lead generation, communications, marketing automation and longer-term follow-up.
Is HighLevel an alternative to Tommy Trinder?
Tommy Trinder specialises in visual window and door quoting.
HighLevel is not a direct replacement for this specialist quoting capability. However, HighLevel could manage the customer before and after the quotation is created.
This could give the company specialist quoting software alongside a more comprehensive marketing and follow-up system.
Should you replace or integrate your existing software?
There are generally three possibilities:
- Use HighLevel on its own. This may suit a smaller company primarily looking for CRM, appointment booking, sales pipelines and marketing automation.
- Keep your specialist system and add HighLevel. This may suit an established installer that needs stronger lead management, marketing and sales follow-up.
- Replace several disconnected tools with a new combination. This may be appropriate when the existing setup involves spreadsheets, separate email systems and duplicated information.
An integration may allow an enquiry to begin in HighLevel and move into the specialist system once the order reaches an agreed stage.
Information could pass back to HighLevel when the installation is completed, allowing review, referral and future marketing campaigns to begin.
However, the existence and quality of an integration must be checked for each system. We need to establish what data should move, when it should move and which system should hold the master customer record.
Know which marketing produces sales
It is easy to count enquiries. It is more valuable to know which marketing creates appointments, quotations and completed sales.
If your leads come from Google Ads, Facebook, organic search, referrals or lead providers, HighLevel can help track what happens after each enquiry arrives.
You can then identify which sources produce the best leads, your sales conversion rate, your cost per completed sale and where opportunities are becoming stuck.
Generating enquiries is only one part of the process. You can find more ideas in my guide to window, door and conservatory marketing and lead follow-up.
Manage Google, Facebook and LinkedIn advertising from HighLevel
HighLevel includes an Ad Manager that works with Google, Facebook, Instagram and LinkedIn advertising.
Facebook and Instagram can be useful for visual campaigns showing transformations, completed installations and different product options.
LinkedIn may be relevant when targeting architects, developers, property professionals or commercial customers.
However, Google Ads may be particularly valuable for a local installer.
Someone searching Google for “replacement windows near me”, “composite door installer” or “conservatory roof replacement” is actively looking for that product or service.
A local Google Search campaign can target the geographical areas you cover and direct prospects to a relevant landing page, enquiry form or telephone number.
Once the enquiry enters HighLevel, the system can record its source, notify the salesperson, begin the follow-up process and track whether it becomes an appointment, quotation and sale.
Reviews, referrals and repeat business
The customer journey should not end when the installation is complete.
HighLevel can help you check that the customer is satisfied, request a Google review, ask for referrals and introduce related products at an appropriate time.
A customer who already knows your workmanship may be easier to convert than a completely new lead. They may also know neighbours, relatives or friends considering similar work.
What about AI?
HighLevel’s AI tools create some interesting opportunities for window, door and conservatory companies.
An AI website assistant could answer common questions, collect information and help arrange an appointment outside normal office hours.
A Voice AI receptionist could answer a call, establish that the caller wants a quotation, gather initial details and potentially book the next step.
AI should support your team, improve response times and stop enquiries being missed. It should not become a barrier between your company and homeowners who want to speak with a knowledgeable person.
Map the process before choosing the software
I have worked with CRM and marketing automation since 2009. One lesson I have learned repeatedly is that buying software before mapping the process usually creates frustration.
Before recommending or building a HighLevel system, I want to understand:
- How your enquiries currently arrive
- Who responds to them
- How appointments and surveys are booked
- How quotations are produced
- What follow-up currently happens
- Which systems your team already uses
- Where opportunities tend to get stuck
I then translate those requirements into a practical HighLevel system.
My approach is Done With You. I help you design and implement the system while ensuring somebody within your business understands it and can become your internal CRM Champion.
Considering a new CRM for your window, door or conservatory company?
The first step should be understanding what you need the system to achieve.
I can look at how your company currently generates enquiries, books appointments, follows up quotations and manages its customer database.
I can then advise whether HighLevel could work on its own, alongside your existing software, or whether another solution would suit you better.

Choosing marketing software is one thing. Knowing how to use it to attract customers, convert enquiries and grow your business is another.

My team and myself have worked with Julian and have found his marketing advice and implementation to be invaluable. He has a wealth of marketing experience and is constantly working to learn and stay on top of his game. During one of our coaching sessions, he urged me to read the book “Launch” by Jeff Walker. Then during our next email marketing campaign, we implemented the concepts from the book, as a result, we generated an additional £200,000 in sales. An that was not all, weeks later we received a “launch echo” as a result of the campaign and sold a master franchise for £40,000.

Marketing agencies are always keen to jump on the latest trend – and right now, that trend is AI.
