HighLevel Consultant, HighLevel Technician or HighLevel Admin?
These terms sometimes get used interchangeably, but I think there are important differences.
A HighLevel technician is typically focused on building and configuring things inside HighLevel.
A HighLevel Admin will often be responsible for the day-to-day technical management of a HighLevel account.
HighLevel also operates an official HighLevel Certified Admin programme. Certified Admins complete HighLevel’s own training and assessment process and can be listed in HighLevel’s Certified Directory.
I’m not a HighLevel Certified Admin.
That’s an important distinction and I’m quite happy to be clear about it.
My positioning is as a HighLevel Consultant and marketing automation strategist, rather than as an administrator whose primary role is the technical management of somebody else’s HighLevel account.
A technician or administrator might reasonably ask:
“What would you like me to build in HighLevel?”
As a consultant, I usually need to start one step earlier:
“What are you trying to achieve, how does your business currently work, and is this actually the best way to do it?”
I bring direct response marketing experience going back to 1996, CRM and marketing automation consulting experience going back to 2009, and practical HighLevel experience across more than 100 MarketerM8 client sub-accounts.
My role is to help determine what should be built and why, then help you and your team implement it.
If you’re specifically looking for somebody who holds HighLevel’s official Certified Admin credential, I won’t pretend to hold a qualification I don’t have.
If you need somebody to understand the commercial problem, map the processes, challenge assumptions and work out how HighLevel should fit into the wider business, that’s where my consultancy is focused.
What Does a HighLevel Consultant Actually Do?
Consider a company with 20,000 contacts that needs migrating from one CRM into HighLevel.
The technical question might be:
How do we import these 20,000 contacts?
The consulting question is:
Who are these 20,000 people and why are they in the database?
That difference can be worth a lot of money.
In 2023, I was helping a London sash-window repair company migrate from Infusionsoft to HighLevel.
During discovery, I learned that their database of around 20,000 contacts included previous prospects who had requested quotes but hadn’t gone ahead.
Some were several years old.
Rather than simply moving those records from one CRM into another, we asked a different question.
Could some of these people still need help with their sash windows?
We sent a very simple three-email reactivation campaign over approximately one week.
Client-reported result: more than Β£50,000 of booked work
The client subsequently reported more than Β£50,000 of booked work within roughly two weeks.
Had we treated the project purely as a technical CRM migration, those contacts could simply have moved from one database to another and the opportunity might never have been discovered.
That’s what I mean by Marketing first. HighLevel second.
HighLevel Consultant vs HighLevel Expert. What’s the Difference?
The terms HighLevel Consultant, GoHighLevel Consultant and HighLevel Expert are often used interchangeably.
For me, there’s a useful distinction.
A HighLevel Expert should understand the platform.
That might include workflows, pipelines, calendars, forms, funnels, conversations, email, SMS, WhatsApp, AI, integrations, Custom Objects and the many other tools available inside HighLevel.
A HighLevel Consultant needs to go further.
They need to understand how those tools should be applied to a real business.
That means considering your business model, customer journey, lead generation, sales process, follow-up, existing technology, internal team, bottlenecks and commercial objectives.
I’ve been doing that considerably longer than I’ve been using HighLevel.
My Experience Didn’t Start With HighLevel
I didn’t learn HighLevel and then decide to become a marketing consultant.
I spent decades working in marketing and CRM before choosing HighLevel as the platform I now specialise in.
Direct Response Marketing Since 1996
My marketing career began in Manchester in 1996 as Marketing Manager at Health & Home Shopping.
This was before Google Ads, Facebook, modern ecommerce and marketing automation.
We sold household products through direct response mail order.
At its peak, my team and I were organising around one million pieces of direct mail every month.
That meant creating offers, writing and designing promotions, segmenting audiences, testing campaigns and measuring response and return on investment.
The company made approximately Β£2 million profit in its second year, and during my five years there the promotions I was instrumental in creating contributed to more than Β£50 million in cumulative sales.
I no longer have documentary evidence from that period, so I present those figures as my recollection of my career rather than as independently audited results.
The technology has changed. People haven’t.
The channels we use to reach customers are almost unrecognisable from those I used in 1996.
The underlying principles aren’t.
Right audience. Right offer. Right message. Systematic follow-up. Testing. Measurement.
HighLevel simply gives us incredibly powerful modern tools with which to apply those principles.
CRM and Marketing Automation Since 2009
I first discovered Infusionsoft in 2009.
I was consulting for a business selling a Β£20 digital travel information product and realised we needed to understand how the internet could transform the business.
I discovered Infusionsoft through training I was receiving from Perry Marshall and taught myself how to use it from what I remember being roughly a 500-page manual.
That opened my eyes to what CRM and marketing automation could allow a marketer to do.
I could manage the database, write the emails, automate follow-up, process payments, manage affiliates and build the website.
One affiliate relationship I negotiated resulted in more than Β£500,000 in sales in around six months for that Β£20 information product. The affiliate received 50% commission.
The database grew from approximately 1,200 contacts to around 300,000.
I was hooked on CRM and marketing automation.
I’ve been working with it ever since.
From My First Infusionsoft Client to HighLevel in Canada
There’s an interesting full-circle element to that story.
That business became my first Infusionsoft client in 2009.
More than 15 years later, the same client is still working with me and now has two MarketerM8 HighLevel accounts.
One is used to help run the Global Art League, an international art competition operated from Montreal, Canada.
The second supports the Montreal Art Center & Museum in Griffintown, Montreal.
So a client relationship that started with Infusionsoft and a digital travel information product in 2009 has evolved through different businesses, different technology and eventually into two HighLevel implementations in Canada.
For me, that’s a useful illustration of why the software itself isn’t the starting point.
Businesses change. Technology changes. The underlying principles of marketing, CRM and customer follow-up continue.
Every Business Needs a CRM Champion
One of the most important things I’ve learned has very little to do with software.
Every business needs somebody who takes ownership of the CRM.
I first saw this particularly dramatically around 2010 while working with a cosmetic dental practice in Bristol.
The dentist had Infusionsoft but was considering cancelling because it wasn’t producing results.
When I investigated, I found approximately 600 leads sitting in the CRM and falling through the cracks.
We created a proper sales pipeline and introduced structured follow-up, tasks, reminders and automation.
But the technology wasn’t the breakthrough.
Julie on reception was.
I worked with Julie each week and she became the person responsible for working the pipeline.
More than Β£1 million in additional treatment sales
The practice subsequently told me that Julie generated more than Β£1 million in additional treatment sales over approximately 12 months using the system and process we’d put in place.
Those figures were reported to me by the practice and aren’t independently verified.
But the experience fundamentally affected the way I approach CRM implementations.
If I configure HighLevel perfectly but nobody in your business takes responsibility for using it, we haven’t solved the problem.
That’s why identifying your CRM Champion is something I look for early in a project.
Understand the Business First. Build the Technology Second.
Another experience that shaped my approach came in 2020.
Andy, a Kinetico water-softener dealer in Grantham, told me he’d spent around Β£15,000 on Infusionsoft subscriptions and consultancy and was preparing to cancel.
The problem wasn’t really Infusionsoft.
There was barely a usable system in place.
Rather than immediately building more automation, I spent time understanding how Andy’s business actually worked.
Together we mapped his sales process and then built the CRM around it.
Andy became his own CRM Champion and diligently worked his pipeline.
One of his favourite techniques was seeing when a prospect opened his quote email and calling them while they were actively considering it.
Kinetico subsequently recognised Andy for his CRM use and business growth. He was then asked by other dealers how he’d achieved it and referred three of them to me.
Understand the business first. Build the technology second.
Don’t Bring Ten Years of Baggage Into a New CRM
CRM migration is one area where this approach is particularly important.
I’m currently working with a property development consultant in Sydney, Australia, who had been using Infusionsoft for around ten years.
His system had grown organically during that decade and contained approximately 10,000 contacts.
Before rebuilding anything, I first had to understand what he already had.
For complicated migrations like this, I’ve found flow-diagram tools such as Lucidchart and draw.io invaluable.
We mapped how the existing Infusionsoft setup worked and then mapped how the new HighLevel version should work.
We deliberately chose the important workflows and emails worth recreating and left the accumulated baggage behind.
Make a fresh start with the new system, but bring your previous learning with you.
The project also became an opportunity to rethink another part of his business.
He regularly ran property development training courses in Sydney, with people attending either physically or through a live video link.
He personally delivered these sessions, often sacrificing Sundays every week or two.
We helped convert the training into recorded online courses hosted within HighLevel.
The customer journey can now move from advertising to a book lead magnet, a Fundamentals course, an Advanced course and ultimately one-to-one mentoring, with payments handled through HighLevel.
This isn’t just a CRM migration.
It’s using the migration as an opportunity to improve how the business operates.
Consolidating Software With HighLevel
HighLevel can also provide an opportunity to simplify your technology stack.
I’ve worked with John Mayfield of Global Real Estate School since 2019.
John was a long-standing Infusionsoft/Keap user.
In 2024, I encouraged him to consider moving to HighLevel.
He was understandably reluctant to disturb a system he’d been using for years.
I guided John through the process, but importantly, John did much of the implementation himself.
HighLevel allowed him to replace his existing CRM alongside platforms including CustomerHub, Leadpages and Calendly.

My objective isn’t to make clients dependent on me.
It’s to give them the direction, knowledge and support they need to understand and take ownership of their own system.
My 85% HighLevel Snapshot Principle
I’ve been creating repeatable CRM systems since long before HighLevel introduced Snapshots.
In 2015, I worked with dental marketing agency The Fresh UK to create a CRM and marketing system called LeadFlo using Infusionsoft.
Dental practices could generate enquiries but often lacked a reliable process for following those enquiries through to a sale.
I personally architected a repeatable system covering CRM, pipelines, lead capture, follow-up, automation, nurture, reactivation and reporting.
The system ran for around four years and at one stage more than ten dental clients were each paying approximately Β£1,500 per month for LeadFlo.
But I deliberately didn’t make every implementation identical.
That experience has carried directly into the way I use HighLevel Snapshots today.
I don’t believe most businesses need a supposedly 100% ready-to-go Snapshot.
It sounds attractive, but in practice you’re often trying to shoehorn the business into somebody else’s system.
The 85% Snapshot Principle
Build approximately 85% of the proven infrastructure once.
Then use discovery and mapping to configure the remaining 15% around the individual business.
You get the efficiency and consistency of a Snapshot without losing the flexibility that makes the system fit the business.
HighLevel for Franchises
I’ve recently applied that same principle while working with a UK consultancy franchise.
The franchisor wanted to strengthen its franchise offering in an increasingly competitive market by providing every franchise consultant with a branded CRM and marketing automation system.
We created what is effectively a CRM and marketing system in a box.
The HighLevel implementation includes CRM, pipelines, interconnected workflows, email marketing, calendars, forms, reviews, social media, invoicing and payments.
It’s white-labelled as the franchise’s own system rather than presented to franchisees as HighLevel.
The franchisor controls the master system, with the intention of eventually deploying it across more than 20 franchisees as part of the existing franchise package.
It’s still an early-stage project, so I’m not making results claims.
But it demonstrates how HighLevel can become part of the intellectual property and infrastructure behind a franchise or consultancy network.
HighLevel Doesn’t Have to Run Everything
HighLevel is incredibly capable.
That doesn’t mean I recommend forcing every part of a business into it.
I’m currently working with an approximately 30-person window cleaning, cleaning and painting company in Dublin.
The company has a bespoke proprietary system that acts as the central coordination and reporting layer for the business.
HighLevel handles areas where it’s particularly strong, including marketing, Facebook lead generation, email, WhatsApp, sales pipelines, opportunities, estimates and invoices.
The proprietary system acts as the coordinating brain and source of truth, including calculating salesperson commissions.
ServiceM8 then handles operational job delivery.
The systems communicate using APIs and webhooks.
HighLevel handles marketing and sales.
The bespoke platform coordinates the wider business.
ServiceM8 handles service delivery.
A good HighLevel Consultant shouldn’t automatically recommend putting everything into HighLevel.
The objective is to build the right system for the business.
Advanced HighLevel Implementation and Custom Objects
HighLevel has developed far beyond a traditional CRM and email marketing platform.
My current work includes advanced implementations involving Custom Objects, APIs, webhooks, AI, Voice AI and integrations with proprietary systems.
For example, I’m advising two closely connected businesses in the live entertainment sector, involving a tribute-act booking agency and live theatre events.
One challenge is handling repeating historical booking data.
A customer might have one previous booking or 100.
Trying to squeeze that information into ordinary contact fields isn’t an elegant solution.
We’re using HighLevel Custom Objects to create a more appropriate data structure, with proprietary external booking systems connecting through APIs and the client’s own developers involved in the integration.
We’re also looking for opportunities to reduce the number of separate software platforms required.
In one example, HighLevel’s Inbound Email Trigger, workflows and Universal Inbox can replace a separate customer-service platform previously being used by the business.
Again, the objective isn’t to use more software.
It’s to design the right solution.
HighLevel WhatsApp Automation
For a UK property investment business, we’ve used HighLevel and WhatsApp to create a convenient automated qualification process for both investors and property sellers.
Leads arrive through channels including SEO and Facebook advertising.
An investor might be asked how much budget they have available to invest.
A property seller might be asked where their property is and when they’re looking to sell.
The qualification process is automated, with appropriate prospects progressing towards either a discovery call or a property visit.
Where WhatsApp isn’t available for a mobile number, the process can default to SMS.
It’s a good example of designing communication around the customer rather than forcing the customer to communicate in the way that’s most convenient for the CRM.
HighLevel AI and Voice AI
I don’t just demonstrate HighLevel AI to clients.
We use it inside MarketerM8 every day.
Meet Bob, Our Virtual Receptionist
Bob is our HighLevel AI receptionist.
He answers inbound calls to MarketerM8 24 hours a day on:
He can answer questions, transfer appropriate callers to me or take a message.
He also interacts with visitors through the Voice AI functionality on our HighLevel website chat widget.
Bob typically handles around five or six calls a week.
The direct time saving is probably only around an hour each week.
But that’s not really the point.
The important thing is that an inbound call doesn’t have to be missed simply because we’re unavailable to answer it.
Bob has even played a role in the sales process.
The prospect behind our approximately Β£10,000 franchise CRM project initially interacted with Bob on the website.
She wanted to send us a brief, which Bob couldn’t accept directly.
He apologised, explained that she should email it to me and provided my email address.
When we subsequently spoke, she specifically mentioned how impressed she’d been by the interaction.
She later became a client.
I’m not claiming Bob single-handedly generated a Β£10,000 sale.
But he certainly helped create a strong first impression.

Can You Migrate Infusionsoft or Keap to HighLevel?

Rather than automatically recreating an old Infusionsoft system exactly, I recommend mapping what currently exists, identifying what remains valuable and designing the new HighLevel implementation around how the business should operate today.
Can HighLevel Replace Infusionsoft or Keap?
For many businesses, yes.
The right answer depends on the particular features, processes and integrations your business uses.
I’ve helped long-standing Infusionsoft clients move to HighLevel, including John Mayfield of Global Real Estate School, who says the move allowed him to consolidate several platforms and save $900 per month in software subscriptions.
Can HighLevel Replace Other Marketing Software?
Potentially.
HighLevel includes CRM, marketing automation, email, SMS, calendars, funnels, websites, courses, reputation management, social tools, payments, AI and other functionality.
John Mayfield, for example, used HighLevel to replace Infusionsoft/Keap, CustomerHub, Leadpages and Calendly amongst other software, and reports saving $900 per month.
I don’t recommend cancelling software simply because HighLevel has a similarly named feature.
The important question is whether HighLevel can genuinely meet the business requirement.
Can HighLevel Integrate With Existing Business Software?
Yes.
HighLevel can be integrated with external platforms through APIs, webhooks and third-party integration tools.
For a 30-person service business in Dublin, for example, we’re using HighLevel for marketing and sales while a proprietary platform acts as the coordinating system and ServiceM8 handles field-service delivery.
Do You Work With HighLevel Custom Objects?
Yes.
I’ve advised businesses on using HighLevel Custom Objects where standard Contacts, Companies and Opportunities aren’t sufficient to represent the data a business needs to manage.
One current implementation involves historical booking information for businesses in the live entertainment sector, with data coming from proprietary external systems.
Can You Help With HighLevel Voice AI?
Yes.
I use HighLevel Voice AI inside my own MarketerM8 business as well as demonstrating and advising clients on its use.

Do You Create HighLevel Snapshots?
Yes, but I don’t normally believe in forcing businesses into a supposedly 100% finished Snapshot.
I use what I call the 85% Snapshot Principle.
Standardise the repeatable core, then adapt the remaining part around the individual business.
This approach is based on experience creating repeatable CRM systems going back to 2015.
Can HighLevel Be Used for a Franchise?
Yes.
HighLevel can be white-labelled and used to provide franchisees with a standardised CRM and marketing automation platform.
I’m currently working on a system designed to be deployed across a UK consultancy franchise, combining a repeatable core system with configuration around the individual franchise business.
Do You Offer HighLevel Training?
Yes.
I offer several different forms of HighLevel training depending on what you need.
For personalised help, I provide one-to-one remote HighLevel training and implementation via Zoom.
For teams and businesses that would benefit from working together in person, I provide on-site HighLevel training and implementation in the UK and internationally.
A client in Montreal, Canada, recently asked me to travel there to work one-to-one with his team.

Do I Need a HighLevel Consultant if I Already Have HighLevel?
Not necessarily.
Some businesses successfully implement HighLevel themselves.
A consultant becomes useful when you’re unsure how to structure the system, have complicated automation requirements, need to migrate an existing CRM, want to integrate HighLevel with other software, need help identifying commercial opportunities inside your existing data, or simply want experienced input to avoid unnecessary trial and error.
